CHARITY PARTNER PROGRAM OVERVIEW
The Charity Partner Program is a great opportunity for local non-profit organizations to gain exposure as well as fundraise for their cause. All local non-profit groups meeting the requirements are welcome to apply! Eligible organizations include local Boy/Girl Scout Troops, Churches, Youth Groups, school clubs and sports teams, and other local non-profits.
If selected, Charity Partners will receive a donation from the event in the amount of $500 for their efforts, if all volunteer and promotional requirements are met in full. To raise additional money for their cause, Charity Partners can create teams of runners to participate in the races by recruiting through their network. Each Charity Partner will have a unique coupon code and will receive a $3 per registered participant donation. The Palmetto Half Marathon will list all participating Charity Partner on the official event site, www.PalmettoHalfMarathon.org, with a link to each Charity Partner’s Web site.
Charities must apply by January 15, 2014 to become an official Charity Partner of the Palmetto Half Marathon.
It is in the sole discretion of the Palmetto Half Marathon to determine the selection criteria and number of charities selected. Each charity is responsible for overseeing its own Charity Partner campaign, and the total amount of money raised relates directly to the efforts of the charity.
The Palmetto Half Marathon requires the following in order for charities to be considered for selection:
- Provide Point of Contact for Palmetto Half Marathon representative to work directly with
- Provide proof of 501(c)3 tax exempt status
- Submit the Charity Partner application
- Submit charity mission statement
- Agree to recruit a minimum of 15 volunteers to help on Race weekend
- Agree to provide Charity logos
- Agree to promote Palmetto Half Marathon
- Agree to follow all Rules and Regulations outline by Palmetto Half Marathon
- Submit Application by January 15, 2014
- Committee will notify Charity Partners by email January 31, 2014
- Charities responsible for submitting logos and Point of Contact by February 5, 2014
- Palmetto Half Marathon will send Charities flyers and Coupon Code by February 7, 2014
- List of Volunteers with names, contact info and shirt size by March 28, 2014
Provide Point of Contact: One person that Palmetto Half Marathon representative will work closely with during the partnership. This person should be available leading up to the event as well as on the day of the event by both phone and email.
501 (c) 3 Status: Charity must provide proof of its 501(c)3 status. You can email with your application to firstname.lastname@example.org
Application: Charity must submit official application available at www.PalmettoHalfMarathon.com
Charity Mission Statement Submission: Charity must submit a 250 word statement including the charity’s mission statement and a detailed description of all services and benefits.
Recruit 10 Volunteers: Charity must recruit a minimum of 10 individuals’ age 14 years and older to volunteer during the weekend of events. Volunteers under the age of 14 may volunteer but must be accompanied by an adult. Half of your group MUST be over the 18 years old. We will place volunteers where they are most needed. Your group may NOT all be placed together. If any of your volunteers have special needs/requests please note when you submit your list of volunteers. All volunteers will receive a volunteer t-shirt and shirt sizes will also need to be turned in with your list of volunteers.
Charity Promotion: Charity must supply black & white and color digital logo files (.pdf or .eps file formats).
Event Promotion: Charity must agree to promote Palmetto Half Marathon on their Web site and in collateral materials using the full name and official logo with registered mark as provided. Palmetto Half marathon will design flyer with Charity logo and coupon code. Charity may use the designation that they are an “Official Charity Partner of Palmetto Half Marathon”, the official logo and event name in their recruiting, fundraising, and marketing campaigns. Charities wishing to use Palmetto Half Marathon logo or event name for any other use than listed herein must submit any item containing the logo/name to the Palmetto Half Marathon for written approval prior to use.
Deadline: Applications are due no later than January 15, 2014.
What To Expect
Application must be submitted before Jan. 15, 2014
Notification on or around January 31, 2014 of selection of Charity Partners
Charity provides 15 or more volunteers to the event.
Charity promotes the event on website and other media.
Charity will receive promotional material from the Event Organizers to use to promote the event and your charity. Your coupon code will be on the promotional material provided.
Charity will receive $500 from the PHM as a Charity Partner.
Charity will also receive $3 for each registered runner/walker who registered using your charity’s Coupon Code.
For Example: A Charity Partner that provides 15+ volunteers and has 25 registered participants would receive $575 from PHM ($500 as a Charity Partner and $75 for 25 participants @ $3 each)
